In this blog, you will learn how a centralised enterprise search can make your daily work more efficient, eliminate information chaos and make valuable knowledge accessible – across all systems.

Why a centralised search is important

Whether in an open-plan office or working from home, many employees experience the same problem every day: important information is needed, but no one knows exactly where it is stored. Is the quote in the ERP system, in an email attachment or somewhere in the Teams channel? While clicking through various systems, valuable minutes – sometimes hours – slip away.

This experience is not an isolated case. A McKinsey survey shows that knowledge workers spend an average of 1.8 hours a day searching for information – that's almost 10 hours a week, representing a significant loss of productivity. This wasted time not only costs money, but also frays nerves. It leads to frustration, duplication of work and creeping inefficiency that affects all areas of the business. This is exactly where enterprise search comes in.

What exactly is Enterprise Search?

Enterprise Search refers to a software solution that enables centralised searching of information from various company systems – regardless of whether it is structured data such as tables or unstructured content such as PDFs, emails or chat histories. Unlike traditional file search functions, enterprise search is not limited to a single storage location, but searches entire system landscapes: ERP, DMS, CRM, email systems, cloud storage and more.

At its core is an intelligent index that analyses, classifies and prepares the content for searching. The results are presented in a user-friendly interface – often supplemented by AI-supported suggestions, filter options and rights checks. This creates a Google-like search experience within the company that is not only fast but also secure.

What exactly does enterprise search change?

The use of a centralised enterprise search has a profound impact on work processes and decision-making quality. The most obvious improvement is the time saved: employees find relevant information in seconds instead of minutes or hours. This increases productivity, reduces queries and allows teams to focus on their actual work.

Enterprise search also creates transparency about existing knowledge by making hidden sources of information accessible. Departments work better together because they no longer operate in isolation from each other in data silos. Internal redundancies can also be reduced – duplicate files, versioning problems and outdated information are a thing of the past.

This has a particularly positive effect in sensitive areas such as customer service or project management. Employees can quickly access contract details, meeting notes or quotation documents – without first having to ask colleagues. This increases the quality of communication and improves customer satisfaction.

How does enterprise search work behind the scenes?

Technically speaking, an enterprise search solution consists of several components. First, so-called connectors or crawlers collect content from the connected source systems – such as SharePoint, SAP, Microsoft Teams or file servers. This content is then processed in a central index, which acts as the heart of the search.

During the search process, this index is queried – not the original source. This speeds up the display of results enormously. Modern solutions use machine learning to weight the relevance of results based on user behaviour, context and access rights. This means that it is not just the most recent document that appears, but the one that was most likely intended.

A good enterprise search also respects existing access restrictions. Employees only see what they are allowed to see in the source systems – and no sensitive content that is not intended for other eyes.

Why is the path to enterprise search often challenging?

Implementing a company-wide search is not a plug-and-play project. Many organisations underestimate the complexity – especially when it comes to system integration. It is often unclear where relevant information is located, which systems should be connected and how to deal with outdated or unstructured data.

Another stumbling block is the issue of permissions. Enterprise search must not promote shadow IT, where confidential information suddenly becomes visible to the wrong people. Careful planning of access controls is therefore essential.

User acceptance is also crucial. Even the best search solution only delivers benefits if it is actively used. The solution must be intuitive, deliver results quickly and integrate seamlessly into everyday work. Training, pilot projects and good internal communication are crucial here.

What role does artificial intelligence play in modern enterprise search solutions?

Enterprise search is increasingly being enhanced by AI technologies. Semantic search, natural language processing (NLP) and machine learning improve the quality of hits and adapt to user behaviour. Gartner predicts that by 2027, 50% of all business decisions will be either supported or fully automated by AI agents. This clearly shows how quickly AI-based search and decision-making processes are finding their way into corporate reality. In addition, Gartner also expects that by 2027, more than 80% of companies will be using AI-supported search solutions – as part of digital workplace strategies, for knowledge management or to comply with compliance guidelines.

This shows that enterprise search is no longer a topic for the future, but has long been an integral part of modern corporate IT.

This means that the search also understands the meaning behind terms. If you search for ‘customer appointment’, you will also get results for ‘meeting’, “call” or ‘sales meeting’ – even if these words were not used exactly. The systems also learn which results are frequently clicked on or ignored and continuously adjust their relevance rating.

This makes the search not only smarter, but also more personal – tailored to the working methods and needs of each individual.

How can enterprise search be integrated?

A successful enterprise search must integrate seamlessly into employees' everyday tools. Many providers enable integration into Microsoft Teams, Outlook, CRM systems or intranet portals. APIs, browser plugins or mobile apps ensure that the search is available where it is needed – without detours.

This seamless integration is crucial for usage. If the search is easy to use and delivers real added value, it will be accepted – and that makes the difference between investment and actual benefit.

Microsoft, for example, offers native integration into Outlook, SharePoint and Teams with “Microsoft Search”. According to official documentation, content from Microsoft 365, third-party tools and user-defined sources can be integrated via Microsoft Graph Connectors.

What mistakes should companies avoid when implementing?

A common mistake is the lack of involvement of specialist departments. If the solution is implemented solely from an IT perspective, there is a risk that important requirements will be overlooked. Data quality is also often underestimated – outdated, duplicate or unmaintained content quickly leads to frustration.

In addition, many projects lack a clear business case. Without defined goals, measurable KPIs and an awareness of the economic benefits, enterprise search remains a ‘nice add-on’ rather than a strategic tool. Good preparation and an interdisciplinary project team are therefore the key to success.

How much does enterprise search cost – and is it worth the investment?

The costs depend heavily on the solution chosen – open source, cloud service or customised enterprise platform. In addition to licence costs, there are expenses for integration, data migration, training and support. Nevertheless, the ROI is usually achieved quickly.

If 100 employees save just 30 minutes of search time per day, that adds up to over 1,000 hours per month – and tens of thousands of pounds per year. And those are just the quantifiable effects. Better decisions, less frustration and faster responses also have an impact – even if they are more difficult to measure. But studies show that it's worth it. According to IDC, inefficient search processes in companies result in productivity losses that can amount to up to USD 2.5 million per year. This loss can be effectively avoided with a good enterprise search.

Enterprise search as part of digital transformation

Centralised search is a key component of digital transformation. It connects systems, breaks down silos and makes information usable. Whether as a basis for automation, as

support for hybrid working models or for knowledge retention during personnel changes, enterprise search provides the necessary transparency.

A digital company is not only networked, but also discoverable – and this is precisely where the strategic importance of a centralised search solution becomes apparent.

Enterprise search is more than just a search field. It is a strategic tool that improves processes, makes knowledge usable and strengthens digital collaboration. In a world full of information, quick access to what is relevant is crucial – for efficiency, innovation and competitiveness.
