The year 2024 was characterized by technological advancements, important partnerships, and a strengthened corporate culture at OriginStamp. Below, we highlight the most significant milestones—from the integration of self-hosted AI into our product OriginVault, to the modernization of the user interface, to new application areas and an enhanced marketing and corporate culture. These developments consolidate our position as a technological pioneer and a reliable partner for both SMEs and large corporations.

AI Integration in OriginVault: LLMs and RAG

Large Language Models (LLMs) such as GPT made tremendous strides in 2024, and we harnessed this potential to enhance OriginVault with state-of-the-art AI functionality. Instead of relying on external services, we integrated a powerful language model directly into our platform, which we self-host. This ensures that sensitive data remains within our own systems—a crucial advantage for customers with high data protection requirements. The AI enables us to provide answers and analyses at the push of a button in vast document collections—a breakthrough for knowledge management and intelligent archiving.

Retrieval Augmented Generation (RAG) combines the power of LLMs with targeted information retrieval to deliver precise and context-sensitive answers.
Within our AI module, we employ Retrieval-Augmented Generation (RAG)—an approach where the LLM actively accesses external knowledge sources (in our case, the documents stored in OriginVault) as needed to substantiate its answers. In 2024, RAG evolved from an experimental concept into an industry-recognized best practice. During implementation, we faced challenges such as optimal document indexing, avoiding model hallucinations, and ensuring short response times. Through iterative improvements—such as text chunking and fine-tuning prompt strategies—we gained valuable insights and continuously improved the accuracy of the AI responses.

Running the self-hosted LLM also required expanding our technical infrastructure. We deployed dedicated GPU servers to run the computationally intensive AI efficiently. This involved establishing a hosting setup that handles load peaks and is highly scalable. Our experiences in GPU hosting—from optimized cooling to intelligent load management—have strengthened our expertise in high-performance computing. Today, we can answer even complex AI queries in OriginVault in mere fractions of a second, providing immediate added value to our customers.

MUI Migration: Next-Generation User Interface

Another key milestone in 2024 was the complete modernization of our user interface through the migration to Material UI (MUI), a modern React component framework. This refactoring project was technically challenging but worthwhile: the new UI is not only more visually appealing but also more responsive and robust. Internally, this step also pays off—the unified codebase simplifies maintenance and further development.

  • Improved Usability: Thanks to MUI, we were able to introduce a consistent design system, making the user experience significantly more intuitive. Users can navigate more easily and complete tasks with fewer clicks.
  • Higher Performance: The pre-built MUI components are high-performing and reduce load times. With code-splitting and efficient rendering methods, the interface now responds noticeably faster—even with large volumes of data.
  • Better Scalability: The unified component library makes it easier for our development team to deploy new features quickly and maintain the application in the long term. Updates and extensions integrate seamlessly without design or user experience disruptions.

The MUI migration not only improved the user experience but also laid the foundation for future expansions. Our frontend architecture is now significantly more scalable and easier to maintain—a crucial advantage to keep pace with growing user numbers.

Flexible Integration Layer for Volatile APIs

In a world of heterogeneous software systems, further development of our integration architecture was also a decisive step in 2024. Many customers require the integration of third-party systems (such as ERP and accounting solutions like bexio) with our platform. However, such external interfaces often prove volatile—whether due to unstable availability, changing API versions, or strict rate limits. Our response was to develop a flexible integration layer that intelligently incorporates external services without letting their unreliability affect our platform.

  • Abstraction and Decoupling: We created an intermediary layer that abstracts the specific characteristics of each external API. Our modules no longer communicate directly with the external service but through standardized internal interfaces. Changes or outages at the provider are thus isolated and do not impact the overall system.
  • Dynamic Load Balancing: To absorb performance fluctuations, the integration layer distributes requests flexibly across multiple instances. This keeps our platform responsive, even when many API calls occur in parallel or individual services temporarily respond slowly.
  • Automatic Cool-Down Mechanisms: If an external service exhibits unexpected behavior—such as delays or limitations—our system responds with intelligent cool-downs. The request frequency is temporarily throttled and gradually increased again once the service stabilizes.

Thanks to this architecture, we were able to master even the challenge of the bexio connection. Despite fluctuating response times from bexio, data synchronization now runs reliably in the background. Our customers notice nothing if there are occasional API issues—all processes remain stable, and synchronization occurs seamlessly. This robust integration capability underlines our flexible architecture and makes us less dependent on the whims of individual providers.

Partnership with CENT Systems AG as a Seal of Quality

A highlight of the year was the strategic partnership with CENT Systems AG. Together, we realized an intelligent e-archiving solution in which OriginStamp's technology (branded as swiDOC) forms the core. This cooperation is not only commercially significant but also serves as impressive proof of our technological leadership. CENT Systems deliberately chose us as a partner to offer their customers AI-assisted document processing at the highest level—a clear validation of our unique performance spectrum.

This was also emphasized by Martin Lage, CEO of CENT Systems, in his statement about the collaboration:

Team Growth and a Performance-Driven Culture

Not only technically, but also in terms of personnel, our company made significant progress in 2024. Particularly noteworthy is the contribution of Stanislav Savchuk, who has profoundly shaped our performance culture. Through his deep Node.js expertise, we were able to optimize critical backend components even further, resulting in faster response times and greater platform stability. Stanislav also introduced new feedback mechanisms: in our development process, we now increasingly rely on continuous performance monitoring and early user feedback. This culture of continuous improvement has inspired the entire team and further enhanced the quality of our software.

New Application Areas Explored

The technological advances of 2024 also opened up new application fields for us. Our solutions are now being deployed in areas that were once beyond our focus:

  • Strategic Environmental Analysis: With our intelligent archiving and analytics solutions, companies can better monitor their business environment. Large volumes of market data, reports, and documents can be automatically searched and analyzed. Decision-makers quickly gain well-founded insights into trends, risks, or competitors—a valuable basis for strategic decisions.
  • Enterprise-Wide Knowledge Databases: OriginVault is increasingly serving as a central, enterprise-wide knowledge platform. The AI-assisted search allows employees to ask questions in natural language and receive relevant answers from all archived documents and records within seconds. This enterprise-wide memory breaks down knowledge silos and ensures that information assets are used efficiently within the company.
  • Process Optimization and Efficiency Improvement: Our integration and automation features directly contribute to optimizing business processes. Routine tasks—from sorting incoming documents to assigning emails to cases and preparing reports—are largely automated with our solutions. This reduces manual work, minimizes errors, and gives employees valuable time for more challenging tasks.

Professionalized Marketing and Increased Visibility

Parallel to the product innovations, we also elevated our marketing to a new level in 2024. We increasingly relied on digital and AI-assisted marketing tools to boost our visibility. For instance, we use ChatGPT to generate high-quality content in a very short time—from blog articles to social media posts—thereby significantly accelerating our content pipeline. Additionally, we produce short, concise video clips to visually convey complex use cases or product updates. On LinkedIn, we launched targeted campaigns to directly reach decision-makers and convince them of the added value of our solutions. These initiatives are showing results: our reach has grown noticeably, and the OriginStamp brand is increasingly establishing itself as a Thought Leader in our segment.

Corporate Culture and Sustainability as Success Factors

Despite the focus on technology, we have never lost sight of the importance of the soft success factors. In 2024, we continued to invest in our corporate culture—with flat hierarchies, a lot of personal responsibility, and a modern working environment that fosters creativity and efficiency. Remote work and flexible hours are an integral part of our practice, boosting team motivation and satisfaction. We also place great emphasis on sustainability: whether it’s through energy-efficient infrastructure for our servers or conscious resource conservation in everyday operations—we act responsibly towards the environment and society.
